Use Tasks in a Box to run your meetings more efficiently. Write down decisions, keep track of all important actions, assign owners and set due dates so that everyone knows what to do when walking out of a meeting.
Keep track of time
Managing your time is crucial in running efficient meetings and making sure all scheduled topics on your meeting agenda get covered.
To start your meeting, click the Start Meeting button in the toolbar at the top of the page. The following events occur:
- A countdown clock appears at the top right of the screen telling you how much time you have left;
- The first topic on your agenda is started. Notice the play icon in front of the topic name to indicate that the topic is active.
When you have set estimated durations on topics in your meeting agenda, you will also see a time indication for your individual topics as well. This gives you a clear indication how much time is left for each of your topics.
If you spend too much time on a topic, the time indication clearly states that the topic is overdue.
When you are done with a topic, click the Move to next topic button at the bottom of the topic pane.
Take notes
When discussing a topic during the meeting, use the notes section to write down tasks, decisions and important discussions.
When you have added a task, open the task to change the properties of the task. Make sure you assign the task to the correct owner(s) and set a due date.
Finish your meeting
It is a good idea to summarise all meeting actions and decisions you noted down before closing your meeting. The Meeting summary sidebar on the right gives an overview of all tasks and decisions you wrote down during your meeting.
Click the End meeting button in the toolbar to end your meeting. The countdown clock stops and is replaced by the total duration of the meeting.
If you accidently ended your meeting, you can always click the Resume meeting to resume your meeting.
